Important Information

Like any reputable business, we trade subject to the law and consumer regulations. Just like any other purchase, a wedding booking involves a legal contract between the buyer and seller. We understand it may not be at the top of your list, but we kindly ask you to take the time to read this important information, as well as the frequently asked questions, before booking your wedding. Thank you!

Introduction

The terms and conditions below govern the relationship between you, the customer, and us, Unforgettable Greek Weddings Ltd — the company and website owner. By using this website and any services contained within it, and booking your wedding with us, you are giving full acceptance of these terms and conditions. If you do not accept these terms and conditions, please refrain from using this website or booking your wedding with us.

As your wedding is just as important to us as it is to you, we have provided a detailed, step-by-step guide outlining what happens during the months leading up to your special day.

Confidentiality & Non-Disclosure Statement

The information contained in our emails, brochures, venue pricing, and menus is strictly confidential and intended for the recipient only. This material is proprietary and may contain exclusive agreements, negotiated rates, and venue policies that are subject to change.

Sharing, distributing, or posting this information on social media platforms, forums, or any public domain is strictly prohibited. Unauthorized sharing can lead to misinterpretation, misinformation, and unnecessary conflict, potentially causing undue concern for clients who have already booked or are in discussions with us. Additionally, such actions may breach contractual agreements with our venues and service providers.

By receiving this information, you acknowledge your obligation to keep it confidential and direct any inquiries regarding pricing, venue details, or wedding arrangements to us directly. Any unauthorized disclosure may result in further action being taken.

We appreciate your cooperation in maintaining privacy, professionalism, and fairness for all clients.

Booking Your Wedding

After your initial enquiry and upon your request, we will book the wedding date for you at the relevant town hall. You will be asked to complete and sign our booking form, agreeing to the Terms and Conditions outlined on this page. Once we have received the signed form, we will send you a deposit invoice.

Please note: When booking any wedding package via Unforgettable Greek Weddings, you are also agreeing to use all of our suppliers. As a wedding company, we cannot accept bookings of suppliers outside of our network. This ensures that we can guarantee the quality of services you receive and be fully responsible for any issues that may arise on your wedding day. This policy helps us ensure a smooth and stress-free experience for you on your special day.

We have a large team of suppliers that you can choose from, all of whom have been carefully selected to meet our high standards of quality and service. By working with our trusted suppliers, we ensure that every aspect of your wedding runs smoothly and is coordinated perfectly. From florists to photographers, DJs to caterers, we offer a wide range of services to personalize your wedding day to your exact preferences.

Wedding Packages

We offer a variety of wedding packages designed to suit every style of wedding and, most importantly, every budget. Our most popular package is the Bougainvillea package, which includes many of the essential components for your wedding day, such as hair and makeup services, flowers, photography, videography, DJ services, and much more.

If you choose a different package, we also offer an extensive range of additional services that you can add to personalize your wedding day.

External Suppliers

When booking your wedding with us, you may not book your own services directly. If you wish to book a supplier outside of our network, you must inform us in advance. We will then collect the necessary information and prices, refer them to you, and handle the booking of the service for you.

As your wedding planners, we cannot be expected to work with suppliers we do not know, have no experience with, or who do not align with our timeline. This could disrupt the flow of your wedding day and negatively impact our reputation, which we strive to maintain by ensuring a smooth, well-coordinated experience for all of our clients.

Please understand that any external suppliers must go through our planning process to ensure everything works seamlessly together.

Payment Details

  • All package fees are paid in GBP via bank transfer to our UK business account.
  • A 20% deposit of the final balance is required to secure the wedding date and venues.
  • The remaining balance is due 8 weeks before your wedding date.
  • Any additional payments for services are made in Rhodes in Euros in cash at your wedding consultation meeting, which takes place 2-4 days before the wedding.
  • The ceremony fees and reception fees will depend on the venues you choose.

Customization of the Package

  • If there are items within your package that you do not require, you may swap them for other services we provide. The net price for the replacement service will be offered.
  • Please note: You may not cancel services within the package to source your own suppliers for the same service.

Deposit

A 20% deposit is required to secure your wedding venue, date, time, and chosen wedding package. Once the payment is received, we will email you a confirmation letter, a receipt, and a copy of the required documents to marry in Greece.

Some suppliers may require a non-refundable deposit to confirm their services, and we will inform you of these requirements at the time of booking.

Please note: All deposits paid are non-refundable

Final Payment

he final balance for your wedding package must be paid 8 weeks prior to your departure to Rhodes. If the balance is not received by this date, Unforgettable Greek Weddings Ltd reserves the right to cancel your booking and retain any monies paid.

If you decide to cancel your wedding after the final payment has been made, including any payments towards the package, Unforgettable Greek Weddings Ltd will retain all monies paid.

Wedding Planner Document

Over the coming months, our wedding planner will work closely with you to create the wedding of your dreams. We will provide you with a clear wedding planner, which will include all booked services, prices, and your arrival and departure details, as well as accommodation information.

Please note, we ask that you do not complete the form yourself. Instead, email us the relevant details, and we will update the planner and send it to you.

The document must be completed by March of your wedding year with all the required information. After the 8 weeks before your wedding, we cannot accept any changes, as we need sufficient time to prepare everything for your big day.

Zoom meetings will be set up between mid-October and mid-January, in wedding date order, for weddings the following year to complete the planner document. Therefore, you must have all your information ready before your scheduled meeting.

Due to the popularity of weddings on Rhodes, we strongly advise booking your additional services as quickly as possible.

Consultation Meetings

Once we have received your final payment and your wedding planner is complete, we will provide you with your consultation time and meeting point in Rhodes. This meeting is typically scheduled one or two days, or possibly more, depending on the number of weddings and the specific date of your wedding, after your arrival. You may be required to travel to the meeting location.

During this meeting, you must bring along a copy of your planner, as well as any table plans or other relevant items/decor you wish to share with us. This allows us to ensure everything is in order and gives us time to prepare for your big day.

Please note: All items must be provided before the wedding day. This helps us guarantee that all details are taken care of in a timely and organized manner.

We do not set a specific time limit for this meeting. We will stay as long as needed to ensure that you are completely happy and confident with all your wedding plans. We will involve as many of our wedding team members as necessary to ensure your day runs smoothly, and there will be no additional charges for this.

Our planners will be present at the reception venues to decorate and ensure everything is ready for your arrival. On the morning of your wedding, the main wedding planner will contact the bride to confirm all times and final arrangements. The ceremony location will also be checked to ensure everything is prepared for your arrival. A member of our wedding team will stay with you until you are seated and dinner is served.

If we change your booking

Bookings are made many months or even years in advance. While it is extremely unlikely that we will make any changes to your confirmed booking, on very rare occasions, we may need to do so. Most changes are minor and out of our control, and we will advise you immediately of any that are implemented. We reserve the right to make changes at any time, without any obligations.

If you cancel your booking

If you wish to cancel your booking or if the booking is canceled by us due to nonpayment of your final balance, we will be entitled to retain the full amount of monies paid.

If the town hall change your booking

The local town hall and registrar have the right to change your wedding venue, date, or time at any time. While this occurs only in extreme circumstances, we want to make you aware that Unforgettable Greek Weddings Ltd cannot be held responsible for these changes.

In Greece, local Greek Orthodox priests have ownership and priority use over the Greek Orthodox chapels. If there is a request for a Greek Orthodox wedding or baptism, we must respect their wishes and adjust our wedding arrangements accordingly.

In the exceptional event that a change occurs, we will promptly reschedule your wedding venue, date, or time to an alternative venue, date, or time that is convenient for you. We will notify you as soon as we receive any changes from the local town hall. Unforgettable Greek Weddings Ltd respects the local priests and their religious obligations to the people of Rhodes.

Finishing Touches & Additional Services

We offer a wide range of Finishing Touches to personalize the arrangements for your big day, including wedding bouquets, buttonholes, wedding cars, champagne cruises, wedding singers, and more. We have thought of everything, and upon request, we can send you details and prices of what is available. As these services are popular, we strongly advise you to book early.

All finishing touches and extras are paid for in Rhodes in Euros during your consultation with our Wedding Planner. Unforgettable Greek Weddings Ltd is responsible for your wedding package and services within that package. All other services are booked on your behalf, either directly with the supplier or via our Agency in Rhodes.

In the rare event of any complaints about services or suppliers, the complaint must be made in Rhodes before your departure, as suppliers are based in Greece and booked directly for you. Any issues must be taken up directly with them.

Decorations supplied by us will be arranged by our wedding team and delivered to the venue. As most reception venues do not allow access to the restaurant until one or two hours before the wedding, any decorations arranged by yourselves—other than name cards, table plans, scatter sequins, and petals—will need to be delivered and set up by you. Please note that this could result in a guest missing the wedding, as venues are busy with holidaymakers and access to the venue is limited to 2 hours before the event. Alternatively, you can pay an additional fee for us to send extra staff to arrange them in time.

Please note: All decorations are for hire only. Any decorations that are damaged or missing after the event may require payment for replacement or repair.

Legal Documents Required

At Unforgettable Greek Weddings, we will email you a step-by-step guide outlining the legal documentation required to marry in Rhodes. You must follow this guide carefully.

You are responsible for thoroughly checking your documents and ensuring that the hard copies are forwarded to Unforgettable Rhodes/Greek Weddings no later than six weeks before your wedding date. We strongly recommend sending them via DHL for added security.

When sending your documents, please follow the instructions below:

Documents to Include:

  • Print copies of your passport ID and the Town Hall documents you completed when booking.
  • Place all documents in a plastic sleeve.
  • Send as Documents (not goods).
  • Address the shipment to an individual (not a company).
  • If asked for the value of the contents, declare no more than 10 GBP to avoid delays in customs and additional fees.

Submitting your legal papers on time is crucial to avoid any complications. The legal documentation process is your responsibility and must be strictly followed. Failure to submit the required paperwork on time may result in additional fees or, in extreme cases, the cancellation of your wedding and forfeiture of payments. Please note that all documents are held in Rhodes and will not be returned.

Our Suppliers

At Unforgettable Greek Weddings Ltd, we take pride in offering efficient and professional suppliers in Rhodes, and we value the strong relationships we have built with them over many years.

Should any extra services you have booked become unavailable, we will make every effort to find an alternative. If we are unable to secure this alternative at the same cost, we will inform you and pass on any additional charges.

Boat Trip Cancellations

In the event that a boat trip cannot sail due to high winds or rough seas, we will fully reimburse you for any monies paid for the service. Additionally, the captain may alter the trip route if the port police inform him that disembarkment is not possible or if there are health and safety concerns.

Should this occur, we will notify you promptly and offer an alternative solution. Depending on the circumstances, transport to the original venue may be provided, and additional fees may apply.

Liability Disclaimer

Please note that Unforgettable Greek Weddings Ltd cannot be held responsible for canceled boat trips or changed routes, nor for any services or suppliers you book directly. We are not obligated to organize, assist with, or be present for services that are not booked through us.

We are committed to providing the best possible service and will always assist in finding alternative solutions should unforeseen circumstances arise.

Changes to our supplier's prices once booked

Most of our wedding optional extras do not require payment until you arrive in resort. The suppliers provide their price quotes at least one year in advance, and they rarely implement any increases within the year of your wedding. However, if there are any price adjustments at the time of payment for your wedding extras in the resort, you will be required to pay the fees applicable at that time.

While most price increases are minimal, we will notify you immediately if any changes occur. Please note that suppliers reserve the right to implement these changes at any time, without prior obligation to inform you in advance.

Cancellation of a supplier once booked

We understand that plans can change, and we want to ensure that you have a smooth process for cancelling any of our suppliers' services, should the need arise. Please note our cancellation policy as follows:

  • Before February 28th of your wedding year: If you wish to cancel one of our suppliers' services before this date, no additional charges will apply, aside from any deposits already paid. These deposits will be non-refundable.
  • After February 28th but more than 8 weeks before your wedding date: A cancellation fee will apply.
  • Within 8 weeks of your wedding date: A 50% cancellation charge will apply.
  • Within 2 weeks of your wedding date: A 100% cancellation charge will apply.

We kindly ask that you notify us as soon as possible if you need to cancel any services so we can assist you in the process. Please let us know if you have any further questions or need clarification on the policy.

Cancellation by a supplier

At Unforgettable Greek Weddings Ltd, we have carefully selected the most reputable, efficient, and professional suppliers on the island of Rhodes. In the rare event that a supplier becomes unavailable or cancels due to unforeseen circumstances, we will make every effort to find you a suitable alternative.

If we are unable to secure an alternative, we will fully reimburse you for any monies paid for the cancelled service.

Reception Venues

Most of our reception venues do not require payment until you arrive in resort. However, some venues may request a deposit in advance to secure your booking. If a deposit is required, we will inform you accordingly, and it will be paid directly to the reception venue.

Reception venues typically provide price quotes at least one year in advance. Since you will settle your final balance directly with the reception venue when in the resort, you will be required to pay the fees applicable at that time. While price increases are rare, if any occur, they are usually minimal. We will notify you immediately of any changes. Please note that the reception venues reserve the right to make these adjustments at any time, without obligation.

Music Restrictions

As per Greek law, music cannot be played after midnight at reception venues. Some hotel venues may impose even earlier restrictions due to the presence of resident guests. Please refer to the relevant reception venue pages for specific details.

Cancellation Policy

If you cancel your reception venue after receiving a confirmation email from us, a 10% cancellation fee of the minimal menu price will apply, based on the number of guests initially confirmed when the venue was booked. Any deposits made at the time of booking will be non-refundable. Please note that some venues may have their own specific cancellation policies, which will apply in addition to our standard terms.

Force Majeure

We regret that we cannot accept liability, provide refunds, or offer compensation where the performance of our obligations under the contract with you is prevented or affected by an event of force majeure, or where you suffer any damage, loss, or expense of any nature as a result.

In these terms and conditions, force majeure refers to any event that Unforgettable Greek Weddings or the supplier of the service in question could not, even with all due care, foresee or avoid. Such events may include, but are not limited to, the following:

  • Actual or threatened war, riot, or civil strife
  • Terrorist activity (actual or threatened) and its consequences
  • Industrial disputes or general strikes
  • Bankruptcy or nuclear disaster
  • Adverse weather conditions of any kind
  • Fire or technical problems affecting transport
  • Closure or congestion of airports
  • Closure of ceremony venues
  • Any similar event outside the control of Unforgettable Greek Weddings and any suppliers we work with

In the event of force majeure, we will make every effort to assist you in finding alternative solutions where possible, but we cannot be held responsible for any resulting disruptions or additional costs.

Our responsibility to You

We accept full responsibility for the proper performance of our obligations under our agreement with you for the booking of our wedding packages and services. If you or any member of your wedding party suffers any damage due to our failure to perform, or our improper performance, we accept liability, except in the following circumstances:

  • If the failure or improper performance is caused by you or any member of your wedding party.
  • If the failure or improper performance is caused by someone not directly employed by Unforgettable Greek Weddings.

In the case of a failure caused by one of our suppliers, we will assist in liaising between you and the supplier to resolve any issues that arise.

In circumstances where we are not directly responsible, we will not be held liable for any resulting damages or issues.

Attendance

In the unlikely event that the assigned Wedding Coordinator/Owner is unable to attend your wedding due to unforeseen circumstances, we reserve the right to appoint another Wedding Coordinator to attend on our behalf. The substitute coordinator will carry out the wedding coordination to the best of their ability, ensuring that everything runs smoothly.

Signing of the Registry

At certain venues, you will be asked to collect and sign your marriage certificate approximately two days after your wedding day. This process typically takes no longer than ten minutes, and you will be escorted by one of our wedding planners.

Please note that, at present, this requirement applies only to weddings in Lindos. Be sure to bring your passports with you to the appointment.

Witnesses and Marriage Certificate

Your witnesses may need to attend the appointment to sign the marriage certificate. Afterward, once you have received your Greek version of the marriage certificate, we will legalize it with an apostille stamp, translate it, and send it to you by registered post. This process usually takes approximately 4-6 weeks after the wedding.

You will need to use the certificate to change your name. The Greek and translated versions will be stapled together, and these two versions must remain intact. If separated, the document will no longer be valid as a legal certificate.

Photography & Videography

All photos and videos will be sent to you via a link in an email, allowing you to download and share them. The link will have an expiry date, which will be provided in the original email. After this date, the photos and videos will no longer be available, and an additional fee will apply to re-upload them.

Please note: Photos may take up to 4 weeks to be sent after the wedding, while videos may take up to 2 months.

Behaviour

If the behavior of you or any member of your wedding party is deemed likely to offend, cause danger, damage, or distress to Unforgettable Greek Weddings or its staff, we reserve the right to cancel or terminate the wedding and/or reception.

In such cases, our responsibility will cease, and we will not be obligated to cover any expenses incurred by you or the party concerned. Additionally, we will not consider any claims or requests for compensation or refunds.

Complaints Procedure

Failure to follow this procedure may prevent us from taking responsibility, as we would be deprived of the opportunity to investigate and resolve the issue. Any complaints must be made before you leave Greece, as Unforgettable Greek Weddings cannot take responsibility for complaints made after your departure. Complaints regarding suppliers should be directed to them directly, and we will liaise with you to ensure the issue is addressed and resolved before leaving Greece.

Data Protection

All data received by Unforgettable Greek Weddings will be shared only with employees and relevant suppliers involved in your wedding arrangements. We will not disclose any of your personal information to third parties not directly involved in your wedding.

Wedding Insurance

We strongly advise you to take out wedding insurance for your wedding abroad.
